Email Templates

Donaraz sends claimants automatic emails at every step. Each one has a good default in four languages, and you can override the wording for your whole company or for one promotion.

Which emails are sent

Email	When
Signup confirmation	Right after a claim is submitted, with the status page link.
Approval	When a claim is approved (physical gift).
Approval — voucher	When a voucher claim is approved (unless you choose to send later).
Gift card	When a Shopify gift card or voucher code is delivered.
Cashback notice	When a cashback claim is approved.
Decline	When a claim is declined, with your reason.
Shipping	When a label is created, with tracking.

Where to change them

1. Company level — Settings → Email templates. Applies to all promotions.
2. Promotion level — on the promotion, section Email overrides. Applies to that promotion only.

Both have tabs per language (English, Dutch, German, French). The email editors show a live preview next to the editor.

Which version is used?

For each email Donaraz picks the first one that exists, in this order:

1. The promotion’s override in the claimant’s language
2. The company template in the claimant’s language
3. The same two in English
4. The Donaraz default in the claimant’s language

The claimant’s language is the one they used on the claim form. You can set a fallback under Settings → Email templates → default public locale.

Merge tags

Use these in subject lines and bodies; they’re filled in per claimant:

Tag	Becomes
{{firstName}}	The claimant’s first name
{{claimId}}	The claim reference
{{statusUrl}}	Link to their status page
{{companyName}}	Your company name
{{giftCardCode}}	The gift card code (gift card emails)
{{giftCodes}} / {{giftCodesHtml}}	All voucher codes on the claim, as text or formatted (voucher emails)

Tip: Keep {{statusUrl}} in every email. Claimants who can check their status themselves send far fewer “where is my gift?” emails.

Sender and branding

Emails use your logo and colours from Branding and are sent from your own domain once a sending domain is verified.
