Cashback Payouts
Collect bank details, export pain.001 or CSV files and mark claims paid.

Cashback promotions pay claimants back to their bank account. Donaraz never moves money itself: it collects and checks the bank details, then builds a payment file that you upload in your own online banking. Your bank makes the transfers.
The flow
claim submitted → approved → exported in a payout file → uploaded at your bank → marked paid
1. Set up your payout account
Go to Settings → Payout account and enter:
- Debtor details — the company name and IBAN (and BIC) the money is paid from.
- Defaults — the preferred file format and how many payments go in one file (1–1000; many banks limit uploads to 100 or 200).
2. Configure the promotion
Choose reward mode Cashback (money only) or Mixed gift (a gift plus money back) and set the cashback amount and currency. See Promotion Types.
3. What claimants fill in
Only on cashback promotions, the claim form asks for:
- Name of the account holder — required; for SEPA it’s checked by the bank’s Verification of Payee.
- IBAN — checksum-validated on the form. BIC is optional for SEPA.
- Or another account type — account number + BIC (required) and optionally a clearing scheme, for countries without IBAN.
Operators with claim permissions can correct bank details on the claim page before exporting.
4. Export a payout file
- Approve the claims. The approval email tells the claimant the cashback is on its way, and the amount is locked on the claim.
- In Requests, open Export payout.
- Choose a format and the payments per file, then download.
- Upload the file(s) in your online banking.
Exported claims get payout status Exported so they’re never paid twice.

| pain.001.001.09 | Newer portals. Also required for non-EUR, non-SEPA and non-IBAN payments (sent as a separate cross-border file). |
| CSV | Your bank or accounting tool imports spreadsheets. |
5. Mark claims paid
Your bank confirms the transfers. Then either:
- Mark as paid — select the exported claims and mark them paid; or
- Upload a pain.002 status report from your bank. Accepted payments become Paid, rejected ones Rejected; pending ones stay Exported.
Many banks never send a pain.002 — marking as paid by hand is fine.
Payout statuses
| Status | Meaning |
|---|---|
| Unpaid | Approved and ready for the next export. |
| Exported | In a payout file; waiting for the bank. |
| Paid | Confirmed paid. |
| Rejected | The bank refused it (for example a closed account). |
| Reopened | Back in the queue after a fix. |
A rejected payment? Correct the bank details on the claim, press Reopen and include it in the next export.
Tip: Export on a fixed day each week. Claimants get a predictable payout moment and your finance team gets one upload instead of dozens.
